Reaching out to candidates
How you find a candidate's email or phone, how you write to them and what to do when they reply.
When a longlist closes, its candidates enter the job post's pipeline as Sourced. To write to them, you first get their email or phone: that's finding their contact info, and it's paid with credits.
The Owner and Recruiters find contact info, on a paid plan or the trial. A Collaborator can add a detail by hand, move candidates between stages and mark someone as do not contact.
Find the contact info
Open a closed longlist
In the job post, go to Sourcing, on the Longlists tab, and open a longlist with Open. While sourcing is still running, you can't search yet.
Pick who
Tick each candidate's box, or all of them at once. Up to 50 at a time.
Pick which details
Tap Find contact info and choose what you want: work email, personal email or phone. The number of details to buy leaves out what you already had, what was already searched with no result and anyone without LinkedIn.
Confirm and wait
Tap Find. The details arrive in seconds or minutes; the phone takes the longest. You can close the progress bar: the search keeps going.
You can also find it one at a time, from the Contact section of the candidate's profile, with Find contact. From the talent pool, select several people and tap Find contacts. And you can ask Ask Reclee.
What it costs
| Detail | Credits |
|---|---|
| Work email | 10 |
| Personal email | 30 |
| Phone | 100 |
Whatever isn't found isn't charged. Your plan's credits go first, then the ones you bought. If they don't cover it, a banner tells you, and the Owner can buy more.
What each status means
| Status | What it means |
|---|---|
| Not searched | You haven't asked for it yet |
| Searching | On its way |
| The email or phone | Found, and it stays in the profile for future job posts |
| Not found | It was searched and there's nothing. It's a result, not a gap |
| Retry | The search failed and nothing was spent. Try again |
In the profile, each detail says where it came from: whether Reclee found it, it came in the CV, the candidate wrote it when applying or someone added it by hand. If Reclee can't find a detail and you have it, add it with Add by hand.
Write to them
For now, messages are sent outside Reclee. Copy the email or phone from the profile, or export the longlist with Export: the file has each candidate's contact details.
To keep track of who you've written to, create a label of your own, like Contacted, from Labels → Manage labels in the pipeline. Add it to each one and filter by it.
When they reply
Move them to Screening: from their profile with Advance to Screening, or with Move to in the pipeline. If they apply through your careers page with the same email or LinkedIn, they move by themselves and you get a notification.
If they never reply, disqualify them with the reason Not responsive.
Do not contact
If someone asks not to be contacted, mark them from their profile with Mark do not contact and write the reason. It applies to all your team's job posts: their profile no longer searches for contacts and the pipeline won't let you advance them. You can lift the mark from the same place.
