Longlist and shortlist
The list sourcing brings and the candidates you present to the client, and why one is a snapshot and the other a stage.
In Spanish they're also Longlist and Shortlist.
What it is
| What it is | Where it comes from | |
|---|---|---|
| Longlist | The profiles a sourcing run brought, with their Match score | Sourcing builds it on its own |
| Shortlist | The candidates you present to the client | It's a pipeline stage: the fourth, before Hired |
In between is all the pipeline work: reaching out, screening and interviews. The longlist is what comes in; the shortlist, what goes out to the client.
What it's for
The longlist gives you who to start with: profiles ranked by how well they meet your criteria, to write to. The shortlist is your deliverable: every candidate you move to Shortlist is seen by the client with their report on the shortlist link.
Where you see it
| Where | |
|---|---|
| Longlist | In Sourcing, Longlists tab: the open run, if there is one, and the closed ones |
| Shortlist | In the ATS, as a stage. To enter it, a candidate needs their report generated |
| Longlist status | What it means |
|---|---|
| Running | Sourcing is bringing in and scoring profiles |
| Paused | It hit the profile cap or the searches stopped performing, and it asks you what to do |
| Closed | It reached its target, or you closed it |
What it gets mixed up with
| Mixed up with | The difference |
|---|---|
| The talent pool | The talent pool is your whole base, and it grows. A longlist is the result of one run, and once closed it doesn't change. See Talent pool |
| A list | You build it by hand, with the people you pick. Sourcing builds the longlist |
| A search | A search is one of the queries sourcing runs. A longlist brings together what all of them brought. See Ideal profile and searches |
Why it works this way
The longlist is a snapshot. When it closes it keeps the score and mark each profile had at that moment. If you later change the criteria or someone's public profile gets updated, you still know what the list you delivered was built with.
There's one per ideal profile. Each ideal profile is a different idea of where the person you're looking for is, and each one runs separately.
Pause instead of close. When sourcing stops performing it doesn't decide on its own: it asks you whether to continue, add searches or close with what there is. Paused costs nothing.
The shortlist is a stage, not a separate list. Moving someone to Shortlist is presenting them: there's no second list to keep up to date, and the pipeline always says who you showed what.
How it's calculated
| What | How |
|---|---|
| Who gets in | Profiles with a Match score equal to or above the threshold, which starts at 50%, and at least 30% coverage. See Match score |
| The order | By Match score × coverage, highest first |
| When it closes on its own | When it reaches 50 qualified |
| When it pauses | When it has evaluated 500 profiles, or if every search drops below 7% performance |
When it closes, each profile enters the job post's pipeline in the first stage, Sourced.
