Pipeline, stages and status
A job post's stages, each candidate's status and the disqualification reasons.
In Spanish: Pipeline, Etapa and Estado.
What it is
The pipeline is a job post's stages, with its candidates. Each candidate is in a stage and has a status.
| Stage | What it means |
|---|---|
| Sourced | Came from the longlist or you added them by hand, and hasn't replied yet |
| Screening | Replied, or applied through your careers page. The minimums get confirmed |
| Interview | You're interviewing them. There can be more than one interview stage |
| Shortlist | You're presenting them to the client |
| Hired | They were hired |
| Status | What it means |
|---|---|
| Active | Still in the running |
| Disqualified | You discarded them, or Reclee did on its own. They stay in the stage where they were cut |
| Withdrawn | They dropped out. They leave the views and the metrics |
What it's for
The stage says where each candidate is in the process, and the whole pipeline shows how the search is moving. The status separates those still in from those left out, without losing how far they got.
Where you see it
In the job post's ATS, in its three views. Each stage counts its active candidates, and See disqualified shows the ones cut there.
| To enter | It needs |
|---|---|
| Shortlist | The report generated |
| Hired | The agreed salary and the start date. See Hire and guarantee |
Disqualify asks for a reason:
| Reason | When |
|---|---|
| Not responsive | They didn't reply |
| Low evaluation score | The evaluation didn't go well |
| Compensation mismatch | What they ask for doesn't fit what's offered |
| Availability mismatch | They can't meet the role's timing |
| Client rejected | The client doesn't want them |
| Hired elsewhere | They already got another job |
| Other | With a comment saying why |
| Failed criterion | Automatic: fails a must-have criterion or question |
| Insufficient data | Automatic: their profile says nothing about a must-have criterion |
If the candidate dropped out, pick Withdrew: it isn't a disqualification, they become Withdrawn.
What it gets mixed up with
| Mixed up with | The difference |
|---|---|
| The label | The stage says where the candidate is. The label, what you're doing with them. See Tag, label, note and comment |
| The funnel | It's the CRM's: companies by sales stage. See Lead and funnel |
| Disqualified and Withdrawn | You, or Reclee, cut the disqualified one, and they count in the metrics. The withdrawn one left on their own, and doesn't count |
Why it works this way
The stage says where the candidate is, not what you're doing with them. While you write to them, they're still Sourced: reaching out happens inside that stage, and Screening starts when they reply. Labels are there to mark what you're doing.
A disqualified candidate stays in their stage so you know how far they got. It's what shows where candidates are lost in each search.
A withdrawn candidate leaves the metrics because you didn't discard them: someone dropping out says nothing about how you're searching.
How it's calculated
Each stage's number counts only active candidates. A candidate who spends more than 7 days in the same stage is flagged. How they move from one stage to the next is in Conversion, time to shortlist and time to hire.
